Local council based in Maroubra are looking for a Project Manager to join their team. This role is required to work Monday to Friday, 8am to 4pm, paying $45-50 an hour.


About You:

  • Certificate IV in Business Administration or equivalent demonstrated experience
  • Highly developed communication and interpersonal skills combined with the ability to resolve conflicts.
  • Highly developed ability to use a range of office software, corporate applications, computer systems and internet services.
  • Ability to negotiate and liaise effectively with community representatives.
  • Superior administrative, organisational skills and ability to prioritise workloads and meet deadlines in a high volume environment.
  • Ability to work in a team environment to achieve departmental and organisational goals. Knowledge in Local Government project administration. A- Class “C” driver’s licence.
  • Must be vaccinated for COVID 19


The Role:


Challenges / Problem Solving

  • Dealing with customer service including replies to residents and internal stakeholders, correspondence, telephone calls and counter enquiries to ensure it complies with Council’s Customer Service Charter and ICARE values.
  • Collate relevant information to enable the processing and completion of capital works projects.
  • Ensure quotations are obtained from contractors in a timely manner to allow the delivery of the service within agreed service standard.
  • Ensuring procurement is undertaken in accordance with Council’s procurement policy.
  • Ensuring relevant project information and asset information is recorded and filed in Council’s electronic document management system.


Decision Making


  • Ensure decisions are guided by research, investigation, analysis and evaluation of information and use of personal experience and knowledge.
  • Policy, procedures and information systems are available but the position holder is required to choose the appropriate processes or systems to achieve Council’s objectives.
  • This job requires significant support to the Projects Team to assure the appropriate sequence of activities and coordination of resources.
  • Issues with processes and procedures are to be identified and improvements are to be recommended. The position holder is required to contribute to the development of revised processes and procedures.


Communication


  • Excellent communication skills, both oral & written.
  • Ability to discuss and liaise effectively with internal staff, residents, consultants and contractors.
  • Information technology skills – User level.
  • Negotiation and conflict resolution skills to resolve complex enquiries.


Special Accountabilities

  • Answer telephone and counter enquiries for Capital Works, the status of projects and work scheduling.
  • Preparing written correspondence including notification letters, meeting minutes and statements of work completion.
  • Collation of relevant information including databases from corporate systems for use by the Project Managers.
  • To utilise Council’s Corporate Systems in order to obtain all relevant and required information to support the Projects Team with project delivery.
  • Following payment reconciliation by the Project Managers, assist with Purchase Requisitions for works in accordance with Council’s procurement policy.
  • To liaise with Council’s Contractors to obtain work schedules and progress reports and update Council officers and customers as necessary.
  • Recording and filing of relevant information in Council’s systems and electronic document management system.
  • To provide administrative support for all projects as required.
  • Assist with the coordination of meetings and schedules.


Occupational Health and Safety Accountabilities

  • Be held accountable for working conditions under your control and for detecting any unsafe or unhealthy conditions or behaviour.
  • Initiate corrective action where necessary and follow up to ensure corrective actions are documented to prevent recurrence of any failure.
  • Ensure that all equipment is used safely and in accordance with intended use.
  • Participate in safety training as required and implement all practices.


Financial Management Accountabilities

  • Ensure compliance with Council’s procurement policies and procedures.
  • The position holder is responsible for the adequate security, care and maintenance of the assets used within her/his program/s.
  • Effective utilisation of Council resources.
